EMEA Business Administration Specialist

Miejsce pracy: Poznań

Led by Caroline Carroll, Head of Business Strategy EMEA, the group consists of 14 employees based across UK, India, Spain and Poznan and is responsible for driving business strategy, harnessing external and internal data analytics to improve decision making and client focus as well as supporting the distribution efforts with business administration in the region.

This role is a team support role that will report in to Executive Assistant, Business Administration, EMEA.The EMEA Business Administration Specialist will be a member of Business Administration EMEA at Franklin Templeton in Poznan and will provide remote administrative support to members of the distribution team.

Demonstrating full competence in their role and able to work independently, the EMEA Business Administration Specialist will proactively engage with and build the trust of senior members associated to the role. The EMEA Business Administration Specialist will take ownership for successful completion of own work and tasks, demonstrating initiative, strong attention to detail and delivery of results within set deadline dates, they must also be able to work well as part of a team

Working with us, you will be responsible for:

Expenses:

  • reconciliation of AMEX & Cash Expenses through Chrome River expense system
  • meet strict deadline dates for submission
  • resolution of expense queries
  • collate relevant supporting evidence for uploading
  • invoices
  • photocopying & scanning

Ad-hoc travel bookings:

  • telephone and email enquiries
  • invoices

Participates in department projects and initiatives including:

  • Assists with or participates as a team member on department/company projects
  • Manages and completes own projects
  • Provides remote administrative support for the Dubai and Zurich offices

We are looking for candidates who:

Knowledge, Education and Experience:

  • Requires 1+ years’ experience in related field
  • Advanced knowledge of business desktop applications
  • Knowledge of proper English usage, grammar, spelling, vocabulary and of generally accepted office practices, procedures, and equipment
  • Use of Chrome River would be advantageous
  • Fluent English + Italian nice-to-have

Skills and Abilities:

  • Advanced Microsoft Office Skills (Word, Excel, PowerPoint)
  • Previous experience of Chrome River would be advantageous
  • Ability to communicate effectively both orally and in writing and to establish and maintaincooperative working relationships with persons contacted of performing assigned duties including Company management and outside business associates
  • Excellent verbal and written communication skills
  • Strong attention to details
  • Ability to interact with senior management on a limited basis
  • Ability to work with minimal supervision
  • Ability to maintain confidentiality
  • Ability to exercise independent judgment consistent with department guidelines
  • Ability to organize and prioritize workflow
  • Ability to adhere/respond to established time frames and schedules
  • Ability to perform multiple tasks in a fast-paced, team environment
